About the Role:

The Executive Assistant role primarily supports the Managing Director and Heads of Trading Departments to maximise their focus on our Trading Portfolios. The role additionally supports our other Heads of Department with assistance from the broader Admin team.


Key Responsibilities:

• Preparation and production of reports for various meetings
• Taking minutes
• Providing full administrative assistance including organizing meetings, answering correspondence, filing paperwork, writing business communication and mailbox management
• Screening telephone calls and dealing with queries from internal colleagues and external counterparties
• Collation and processing of all credit card reconciliations and expenses
• Extensive diary management
• Arranging travel & events
• Assistance in other areas as and when required, e.g. reception cover (2nd point of contact only)
• General ad-hoc duties including some personal tasks for the Managing Director

Skills Required:

• Outstanding organization skills, ability to multi task and prioritise
• A flexible approach to working and able to work independently
• Strong interpersonal skills, and ability to build relationships with stakeholders including directors, senior management, staff and external partners
• Positive, can-do attitude
• Proactive approach to problem solving with strong decision making capability
• Excellent written and verbal communication skills
• Ability to be one step ahead and demonstrate initiative
• Professional and able to maintain confidentiality
• Excellent MS Office skills, particularly with Outlook and Powerpoint

Experience Required:

• Significant previous experience supporting executives
• Experience of working in a professional fast paced, dynamic environment
• Previous experience working within a global corporation i.e. liaising across different time zones is desirable
• Ability to meet deadlines and manage a high workload effectively
• Experience with working with confidential and sensitive information
• Strong diary management skills
